Terms of Service

1. The short version
SpendCrew reads photographs of receipts and helps you put the costs on the right job. It is early software, currently in testing, and it will sometimes get things wrong. Check the figures before you rely on them for accounting, tax, billing, or any decision that costs money.
Using SpendCrew means you accept these terms. If you do not, please do not use it. The rest of this page is the detail.
2. Who you are agreeing with
SpendCrew is operated by Lu Bing, a sole proprietor in the United States (“we”, “us”, “SpendCrew”). You can reach us at support@spendcrewapp.com.
You must be at least 18 and able to enter a binding agreement. If you are agreeing for a business, you confirm you are allowed to, and “you” includes that business.
3. What SpendCrew does
You photograph a receipt. SpendCrew reads the individual lines, suggests which of your jobs each line belongs to, and records what you confirm. It shows what you have recorded against each job and lets you export it as a spreadsheet.
What it is not
It is not accounting software, and not a bookkeeping, tax-preparation, invoicing, payroll, estimating, or project-management service. It does not file anything, calculate what you owe, or decide what is deductible.
It records only what you capture. Costs you never photograph or enter do not exist as far as SpendCrew is concerned, so its totals are a record of your inputs rather than the complete cost of a job.
4. This is beta software
SpendCrew is being tested with a small number of contractors before a public launch. During this period, plainly:
- It may contain errors, and some of them will affect figures.
- Features may change, or be removed, without notice.
- It may be unavailable, sometimes without warning.
- Data may be lost. Export anything you cannot afford to lose.
There is no service-level commitment and no guaranteed uptime. Do not use SpendCrew as your only record of a cost that matters to you.
5. Accuracy, and what you must check
Receipts are read by automated systems, including artificial intelligence and optical character recognition. Reading a crumpled thermal receipt is imperfect for every product that attempts it, ours included.
SpendCrew may:
- misread a description, a price, a quantity or a date
- miss a line entirely, or record one twice
- apportion tax or a discount differently from the retailer
- suggest the wrong job, or leave an item unassigned
- fail to read a receipt at all
Where it is uncertain it flags the line rather than guessing silently, and it checks the lines against the printed total. Those safeguards reduce mistakes; they do not remove them, and their absence on a particular line is not a statement that the line is correct.
You are responsible for reviewing what SpendCrew records before relying on it.
6. Job assignments are suggestions
SpendCrew may suggest which job an item belongs to, or place it in overhead or unassigned. Every suggestion is a recommendation, not a determination.
You remain responsible for deciding which expense belongs to which job, what counts as overhead, how shared costs and tax and discounts should be split, and what is billable or reimbursable.
7. Not accounting, tax, or legal advice
Nothing SpendCrew shows you is accounting, tax, legal, or financial advice, and nothing in it is a professional opinion. Sales tax shown against a job is apportioned by the software, not itemised by the retailer, and may not reflect the correct treatment where you are.
Using SpendCrew does not create an advisor-client relationship. Talk to an accountant or a tax professional before making decisions about your books, your filings, or what you charge a customer.
8. Your account
Keep your password to yourself and tell us at support@spendcrewapp.com if you think someone else has it. You are responsible for activity under your account, so far as the law allows.
Accounts are currently issued by invitation while SpendCrew is being tested. We may decline or withdraw access during this period, and may suspend an account we reasonably believe is compromised or being misused.
9. Your content, and the permission we need
Your content is yours. Receipt photographs, jobs, customers, expenses, notes and figures — you own them and we claim no ownership.
To run the service we need your permission to handle them. You grant us a limited, non-exclusive licence to host, store, copy, transmit, process and display your content, only so far as is needed to provide, secure, maintain and support SpendCrew for you, and subject to the privacy policy. That licence ends when the content is deleted.
By uploading a receipt you confirm you are entitled to. Where a receipt or a job record contains someone else’s personal information — a customer’s name, for instance — you remain responsible for having a proper basis to hold it.
You must not upload anything that:
- you have no legal right to use or disclose
- infringes someone else's intellectual property
- contains malicious code
- is fraudulent or deliberately misleading
10. Keeping your own records
SpendCrew helps you organise business information. It does not relieve you of keeping the records your business actually needs — for tax, accounting, audits, insurance, customer disputes, or anything you are legally required to retain.
Keep independent copies of anything important. You can export everything as a spreadsheet at any time from Settings → Export CSV. We are not responsible for records you were required to keep and did not.
11. Security
We use reasonable technical and organisational measures to protect what SpendCrew holds. Connections use HTTPS, receipt images are in private storage, and each business’s data is separated at the database level rather than only by the application.
No system, network or method of transmission can be guaranteed completely secure, and we do not claim otherwise.
12. Deleting your account
Settings → Delete account, inside the app. You will be asked to type DELETE. It removes your business, jobs, customers, receipts, every receipt photograph, and everything derived from them.
Deletion is immediate and permanent, and we keep no copy for you to recover. Residual copies may persist for a short time in routine infrastructure-level backups maintained by our hosting providers, and are overwritten on their normal cycle. Export first if you want a record.
13. What you agree not to do
- Use SpendCrew to break the law, or to commit or facilitate fraud.
- Try to reach another business's data, or probe, scan or interfere with the service.
- Upload malicious code, or attempt to bypass access controls or usage limits.
- Reverse engineer the service, except where the law expressly permits it.
- Scrape or systematically extract data from the service without permission.
- Automate access in a way that places an unreasonable load on it.
- Resell SpendCrew or run it as a service for others, without our written agreement.
- Claim an affiliation with SpendCrew that does not exist.
We may investigate suspected breaches and suspend or close an account, and will say why where we reasonably can.
14. What it costs
SpendCrew is free during the beta period. No payment details are collected and there is no billing system in the product today.
If we introduce charges we will tell you before they apply, and you will be able to export your data and close your account rather than pay. You will never be charged simply because pricing was introduced — only if you agree to a plan.
15. Our software stays ours
SpendCrew’s software, interfaces, design, branding, name and logo belong to us or our licensors. These terms give you permission to use the service, and transfer no ownership of any of it.
You may not copy, sell, sublicense or create derivative works from it, except where the law expressly allows or we have agreed in writing.
16. Feedback
If you send us ideas, feature requests, bug reports or other feedback, we may use them freely and without owing you anything. That is deliberate — we would rather hear what is wrong than have to negotiate about it.
This applies to feedback only. It does not affect ownership of your receipts, job records or any other content you put into SpendCrew.
17. Other companies, and other people's names
SpendCrew relies on OpenAI to read receipts, Supabase to store data, and Vercel to run the service. How they handle your data is described in the privacy policy. We are responsible to you for the service; we do not control those providers and cannot guarantee their availability.
Product names and trademarks — including Home Depot, Lowe’s, Ferguson, Ace and QuickBooks — are the property of their respective owners. We mention them to describe how SpendCrew is used. SpendCrew is not affiliated with, sponsored by, endorsed by, certified by, or integrated with any of them. Exporting a spreadsheet you can open in accounting software is not an integration, and we do not describe it as one.
18. If you use the app from an app store
If you install SpendCrew through the Apple App Store or another marketplace, that marketplace’s terms may also apply. Your agreement about SpendCrew itself is with us, not with them, and they are not responsible for supporting it unless their own terms or the law say otherwise.
19. Availability and changes
We aim to keep SpendCrew running, and will not always succeed. It may be unavailable for maintenance, upgrades, defects, provider outages, network problems, security incidents, or things outside our reasonable control.
SpendCrew is an evolving product, and we may add, change, restrict or remove features as it develops.
20. Ending it
You can stop at any time by deleting your account. We may suspend or end access if you materially breach these terms, if your use creates a security or legal risk, or if we discontinue the service. Where we reasonably can, we will give notice first — except where immediate action is needed.
If we shut SpendCrew down, we will give you notice and a fair opportunity to export your data.
Sections that should outlive the account do: your content and the licence, our intellectual property, feedback, the disclaimers, the liability limits, indemnity, and governing law, along with anything already owed before it ended.
21. No warranties
SpendCrew is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, title, and non-infringement.
In particular, we do not warrant that:
- the service will be available or uninterrupted
- receipt extraction will be error-free, or will find every line
- suggested job assignments will be correct
- job totals, tax figures or any other number will be complete or accurate
- the service will meet every requirement your business has
Nothing here excludes a warranty or a right that cannot lawfully be excluded.
22. Limits on what we owe you
To the fullest extent the law allows, we are not liable for indirect, incidental, special, consequential, exemplary or punitive loss — including lost profits, lost revenue, lost or incomplete data, business interruption, missed billing, accounting or tax errors, customer or vendor disputes, or decisions you made relying on figures SpendCrew produced.
Our total liability for any claim relating to SpendCrew is limited to the greater of what you paid us in the twelve months before the claim, or one hundred US dollars. While SpendCrew is free, that means one hundred dollars.
Some jurisdictions do not allow some of these limits, in which case they apply to you only as far as the law permits.
23. Indemnity
So far as the law allows, you agree to cover our reasonable costs if someone brings a claim against us because of your unlawful use of SpendCrew, your material breach of these terms, content you had no right to upload, your infringement of someone else’s rights, or your fraud or deliberate misconduct.
This does not apply where the claim arises from our own conduct and the law does not let us exclude it.
24. Transferring these terms
You may not transfer your rights or obligations under these terms without our written consent. We may transfer ours in connection with a sale, merger or reorganisation of the SpendCrew business, subject to the law and to the privacy policy.
25. Changes to these terms
We may update these terms. If a change materially affects you we will tell you in the app or by email before it takes effect, and the date at the top will change. Continuing to use SpendCrew after that means you accept the update; if you would rather not, export your data and delete your account.
26. Governing law
These terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law rules. Disputes will be brought in the state or federal courts located in the Commonwealth of Pennsylvania, and you and we both consent to that, except where the law gives you the right to bring a claim elsewhere.
Before starting anything formal, please email support@spendcrewapp.com and give us a genuine chance to sort it out. Most things can be.
27. Everything else
If any part of these terms is unenforceable, it is enforced as far as the law allows and the rest continues. If we do not enforce something straight away, we have not given it up. These terms and the privacy policy are the whole agreement between us about SpendCrew.
