SpendCrew Privacy Policy

The short version
SpendCrew records the material costs on your building jobs. To do that it stores the receipts you photograph and the jobs you create.
Your receipt photographs are sent to OpenAI so their text can be read automatically. So are your job names and your customers’ names, so the app can suggest which job each item belongs to. Nothing is sold, and nothing is shared with advertisers. You can delete everything from inside the app at any time.

What is collected
Because you provide it
- Your email address, used to sign in and to contact you about the service.
- Your business name.
- Jobs you create: name, address, notes, material budget, and the customer name you attach.
- Receipts you photograph: the image itself, and the merchant, date, item descriptions and amounts read from it.
- Expenses you type in by hand.
Because the app records how it is used
SpendCrew keeps a small usage log so its accuracy can be measured — for example, how many items were read from a receipt, how long that took, and how many suggestions you corrected.
This log is built from a fixed list of permitted fields. Receipt images, item descriptions, merchant names, customer names, addresses and amounts are not on that list and cannot enter it: anything not named is discarded before the record is written, rather than filtered afterwards.
What is never collected
- Payment card numbers, bank details or card images. SpendCrew reads what you bought, not how you paid.
- Your location. The app never requests it.
- Your contacts, calendar, or activity in other apps.
- Advertising identifiers. There is no advertising and no cross-app tracking.
Who it is shared with
Three companies process data so the service can run. None of them is paid to receive your data, and none may use it for their own purposes.
OpenAI — reading your receipts
When you photograph a receipt, the image is sent to OpenAI to be transcribed. A second request then sends the item descriptions from that receipt together with your active job names and the customer names attached to them, so the app can suggest which job each item belongs to.
This is the most significant disclosure on this page, so it is worth stating plainly: a receipt may show where you shop and what you buy, and your job list identifies your customers by name. Both leave our systems for this purpose.
OpenAI processes this under its API terms, which do not permit using it to train their models. The account’s data-sharing settings were checked on 22 August 2026 and every sharing option is switched off. OpenAI may retain the request briefly for abuse monitoring.
Supabase — storing your data
Your account, jobs, receipts and receipt images are stored with Supabase. Receipt images are held in private storage that is not publicly reachable. Each business’s data is separated at the database level, so one account cannot read another’s.
Vercel — running the service
The application runs on Vercel, which handles requests between the app and the database and keeps standard server logs.
Nobody else
Your data is not sold, rented, or shared with advertisers, data brokers or analytics companies. There are no third-party trackers in the app. It would be disclosed to a public authority only if the law required it.
Where it is held
Data is processed and stored in the United States — the database and receipt images sit in Supabase’s East US region. If you use SpendCrew from elsewhere, your information is transferred there.
How long it is kept
Your data is kept for as long as your account exists. When you delete your account it is removed immediately — see below. Server logs are kept only briefly by the providers above, under their own policies.
Deleting your data
In the app, open Settings → Delete account. You will be asked to type DELETE and confirm.
This removes your business, every job, every customer, every receipt and its line items, every allocation, every manual expense, your usage log, and every receipt photograph. It happens straight away and cannot be undone. No backup copy is kept for you to recover.
Export your data first if you want a record: Settings → Export CSV gives you every cost in a spreadsheet file.
Your rights
Depending on where you live you may have rights to see, correct, export or erase your data, and to object to how it is used. SpendCrew is built so you can do most of this yourself: the app shows everything it holds, lets you edit and delete individual records, exports it all as a spreadsheet, and deletes the account outright. For anything else, contact support@spendcrewapp.com.
Your customers’ names. When you record a customer, you are entering someone else’s personal information. You remain responsible for having a proper basis to do so under the law where you work. Their names are included in the AI request described above.
Children
SpendCrew is a tool for running a business and is not intended for anyone under 16. Accounts are not knowingly created for children.
Security
Connections use HTTPS. Receipt images are in private storage. Database access is restricted per account and enforced by the database itself rather than only by the app, and that separation is verified by automated tests against the live system. No system is perfectly secure, and this describes the measures taken rather than a guarantee.
Changes
If this policy changes materially — particularly if data starts going somewhere new — the date at the top will change and you will be told in the app before it takes effect.
